1. Introduction
Welcome to ByteBuddies. By enrolling in, participating in, or otherwise engaging with any of our offerings, including, but not limited to, coding bootcamps, short courses, educational workshops, private tutoring sessions, digital content, and related online or on-site activities. You acknowledge and agree to be bound by the terms and conditions outlined herein.
ByteBuddies is an educational platform designed to introduce children and young learners to the fundamentals of coding, robotics, digital literacy, and artificial intelligence in an engaging, age-appropriate, and structured manner. Our programs are carefully curated to encourage creativity, logical thinking, and problem-solving through a range of interactive experiences. Whether accessed virtually or in person, our services aim to provide a safe, inclusive, and stimulating learning environment.
These Terms & Conditions govern your relationship with ByteBuddies and define the rules, policies, and responsibilities applicable to all participants, guardians, and users. We recommend that you review this document thoroughly before enrolling in any course or event, as continued use of our services implies full acceptance and compliance. ByteBuddies reserves the right to update these terms from time to time without prior notice.
2. Definitions
"ByteBuddies": Refers to the full educational entity operating under the brand name "ByteBuddies", including but not limited to its directors, facilitators, educators, developers, content creators, administrative personnel, and any affiliated contractors or service providers engaged in the planning, design, implementation, or support of educational content and experiences. This encompasses all courses, bootcamps, online or in-person sessions, mentorship programs, resource materials, communications, digital assets, and supplementary services offered directly or indirectly through ByteBuddies platforms or approved third-party tools.
"You", "Participant", "Parent/Guardian": Refers to any individual or legal entity that engages with ByteBuddies in any capacity. This includes (but is not limited to) minors enrolled in a ByteBuddies course or program, their parents or legal guardians, users accessing ByteBuddies content or communication channels, and purchasers of any services or products. Where the participant is a minor, the Parent or Guardian is deemed to have accepted all terms and responsibilities on their behalf.
"Program", "Course", or "Bootcamp": Refers to any structured educational offering provided by ByteBuddies, whether delivered in person, remotely, synchronously (live), or asynchronously (pre-recorded). This includes all associated teaching materials, digital tools, communication platforms, homework or assignments, live support, and follow-up engagement linked to the learning experience.
"Instructor", "Facilitator", or "Mentor": Refers to any individual appointed by ByteBuddies to deliver course content, provide instruction, assess progress, or otherwise support the learning journey of participants. All instructors are either employed or contracted by ByteBuddies and are responsible for maintaining the professional and ethical standards outlined in these Terms.
"Digital Content": Refers to any intellectual property, including but not limited to videos, lesson plans, worksheets, presentations, downloadable files, games, and applications developed or curated by ByteBuddies and made available through our website, communication tools, or third-party platforms. All content remains the property of ByteBuddies unless otherwise explicitly stated.
3. Participation & Enrollment
All individuals under the age of 18 may only participate in ByteBuddies programs if formally enrolled by a parent or legal guardian. By submitting an enrollment request, the parent or guardian confirms that they have read, understood, and agreed to all terms and conditions, and that they accept full responsibility for the conduct, attendance, and well-being of the minor participant throughout the duration of the program.
ByteBuddies reserves the full and exclusive right to refuse, suspend, or cancel the enrollment or continued participation of any learner at any point, should it be determined—at the sole discretion of the ByteBuddies administrative or instructional team—that such action is necessary in order to maintain a safe, respectful, and productive learning environment. Grounds for such action may include, but are not limited to: disruptive or inappropriate behavior, failure to comply with program rules, safety concerns, or behavior that negatively impacts other participants or facilitators.
Enrollment in any ByteBuddies program does not constitute a guarantee of course completion or certification. Active engagement, punctuality, and appropriate conduct are expected from all participants throughout the course. ByteBuddies reserves the right to modify class sizes, session formats, or scheduling as deemed necessary, and will notify guardians of any substantial changes.
4. Payments & Proof
All bookings for ByteBuddies courses, bootcamps, workshops, or related services must be paid in full via Electronic Funds Transfer (EFT) to the designated account provided by ByteBuddies. At this time, we do not accept payments via cash, card, or any other method. Parents or guardians are required to use the learner’s full name and surname as the payment reference to ensure proper allocation of funds.
Once payment has been made, a clear and legible proof of payment must be emailed to info@bytebuddies.co.za without delay. It is the responsibility of the payer to ensure that the proof is sent timeously and that the payment details provided are accurate and complete. Failure to do so may result in delays or forfeiture of the learner’s space in the selected program.
Enrollment will only be confirmed once the payment has been verified and a confirmation email has been issued by the ByteBuddies administrative team. Please note that submission of a payment without accompanying proof does not constitute a completed registration. ByteBuddies cannot be held liable for missed opportunities due to delayed or unverified payments.
5. Refunds & Cancellations
Please note that ByteBuddies does not offer refunds for cancellations, regardless of the time frame prior to the course start date. We understand, however, that unforeseen and exceptional circumstances may arise. In instances such as a medical emergency, personal illness, or the passing of an immediate family member, participants may request a credit transfer.
All such requests must be submitted in writing, accompanied by relevant supporting documentation, and will be subject to review and approval by the ByteBuddies administrative team. If approved, the full course fee will be credited towards a future ByteBuddies course of the participant's choice, subject to availability and course suitability.
This policy is in place to ensure fairness, proper planning, and the continued quality of our learning experience for all participants.
Special cases may be handled individually.
6. Code of Conduct
At ByteBuddies, we are committed to creating a positive, respectful, and inclusive learning environment for all participants, facilitators, and staff. As such, all learners are expected to conduct themselves in a manner that upholds the values of respect, responsibility, and cooperation throughout the duration of any program, whether conducted in person or online.
Participants must treat instructors, fellow learners, and all ByteBuddies representatives with courtesy and consideration at all times. This includes listening attentively, following instructions, using appropriate language, and participating in a way that supports a collaborative and safe educational atmosphere.
Any form of disruptive behavior, including but not limited to bullying, harassment, discrimination, verbal or physical misconduct, or any actions that pose a threat to the safety or well-being of others, will not be tolerated. ByteBuddies reserves the right to take immediate disciplinary action—including suspension or permanent removal from the program—should such behavior occur. In such cases, no refund or credit will be issued, and further participation in future programs may be restricted.
We rely on the cooperation of all participants and guardians to help us maintain the high standards and positive environment that ByteBuddies is known for.
7. Media Consent
ByteBuddies occasionally captures photographs, video recordings, or other forms of media during the course of its programs, workshops, and events. These images may include participants engaged in activities, interacting with instructors, or showcasing their work. Such media may be used for promotional, educational, or marketing purposes, including (but not limited to) our website, social media platforms, brochures, press releases, or other public communications.
By enrolling in a ByteBuddies program, you acknowledge and grant permission for ByteBuddies to photograph and/or film the participant and to use such media in the manner described above, without compensation or further consent. This permission is granted on a perpetual, worldwide, and royalty-free basis.
If you do not wish for your child to appear in any photos or recordings, a written request must be submitted to info@bytebuddies.co.za prior to the start of the program. We will make reasonable efforts to accommodate such requests; however, ByteBuddies cannot be held responsible for accidental appearances in wide-angle or group media where individuals are not specifically identified.
8. Disclaimer of Liability
While ByteBuddies takes every reasonable precaution to ensure a safe, secure, and supportive learning environment for all participants, by enrolling in any ByteBuddies program, you acknowledge and agree that participation is undertaken at your own risk. ByteBuddies, its staff, facilitators, partners, and affiliates shall not be held liable for any injury, illness, loss, damage, or expense—whether direct or indirect—sustained during the course of any program, session, or activity, whether conducted in-person or online.
Parents and guardians are responsible for ensuring that participants are physically and mentally fit to engage in the activities offered. In the case of in-person sessions, ByteBuddies will not be held accountable for lost, stolen, or damaged personal belongings brought to the venue. For online sessions, ByteBuddies assumes no responsibility for disruptions, technical failures, or limitations resulting from factors outside our control, including internet connectivity, device compatibility, or software performance.
By proceeding with registration, you expressly waive any and all claims against ByteBuddies arising from participation in our programs, except where required by applicable law.
9. Content Ownership
All educational content, training materials, lesson plans, worksheets, videos, digital resources, visual assets, games, and supporting documents provided or made accessible as part of any ByteBuddies program remain the exclusive intellectual property of ByteBuddies. This includes materials shared during live sessions, distributed electronically, or hosted on any ByteBuddies-affiliated platform.
Participants are granted limited, non-transferable, and non-commercial rights to access and use the content solely for personal educational purposes during the duration of the enrolled program. Under no circumstances may any material—whether in part or in full—be copied, reproduced, republished, uploaded, posted, shared, transmitted, distributed, modified, or sold without the express prior written consent of ByteBuddies.
Any unauthorized use, duplication, or distribution of ByteBuddies content is a breach of these Terms & Conditions and may result in immediate termination of access, legal action, and/or financial liability for damages incurred.
We appreciate your cooperation in respecting our intellectual property and protecting the integrity of our learning environment.
10. Internet & Devices
For all virtual or online ByteBuddies programs, it is the sole responsibility of the participant (or their parent/guardian) to ensure that a suitable digital learning environment is in place. This includes having access to a functional device (such as a laptop, tablet, or desktop computer) that is compatible with the platforms and tools used by ByteBuddies, as well as a stable and reliable internet connection capable of supporting video conferencing and interactive learning.
ByteBuddies does not provide devices, internet data, or technical support for home-based connectivity issues. We strongly recommend testing your setup prior to the start of the course to minimize interruptions and ensure an optimal learning experience. Participants are expected to join sessions on time and with the necessary technology in working order.
ByteBuddies shall not be held liable for missed sessions, partial attendance, or any disruptions to the learning process that result from device malfunctions, poor internet connectivity, software issues, or other technical difficulties on the user’s side. No refunds or make-up sessions will be granted for such occurrences.
11. Data Use
ByteBuddies is committed to protecting your privacy and handling all personal information in accordance with applicable data protection laws and ethical standards. By enrolling in our programs, you consent to the collection, processing, and storage of personal data provided during the registration process. This includes, but is not limited to, the participant’s name, age, parent/guardian contact information, email address, and any relevant medical or educational notes voluntarily submitted for the purpose of enhancing the learning experience.
All collected data is used solely for internal administrative purposes, including registration management, course communication, attendance tracking, and the delivery of ByteBuddies programs. Data may also be used to share important updates, schedule changes, or future opportunities relevant to our educational offerings.
We do not sell, share, or distribute personal information to third parties for marketing or commercial purposes under any circumstances. Access to data is strictly limited to authorized ByteBuddies personnel and partners directly involved in the facilitation of your chosen program.
Participants and guardians may request access to, or correction of, their personal information at any time by contacting info@bytebuddies.co.za. We take your trust seriously and strive to ensure that your data remains secure, confidential, and used only for the purpose for which it was provided.
12. Changes to Terms
ByteBuddies reserves the right, at its sole discretion, to modify, update, or revise these Terms & Conditions at any time and without prior notice. Such changes may be made to reflect updates in our service offerings, legal requirements, operational procedures, or other necessary adjustments to ensure continued clarity, fairness, and compliance.
The most current version of the Terms & Conditions will always be available on our official website. It is the responsibility of the participant, parent, or guardian to review these terms periodically and remain informed of any updates. Continued enrollment in or participation with any ByteBuddies program following the publication of revised terms will constitute acceptance of the changes.
If a significant change is made that affects your rights or obligations in a material way, ByteBuddies may, at its discretion, provide notice via email or other appropriate means of communication.
